The Information I Collect

When using my website, I gather the minimum amount of data required to safely create a contact method to discuss your pets and manage bookings. This includes:

• Name: I need to know who I am speaking with

• Email address: If you choose to contact via email, I will use your address to reply

• Phone number: If you choose to contact via WhatsApp/ Messages, I will use your number to reply​

When using my services, I will ask for all relevant information in regards to providing your animals the best care, alongside my own safety. This includes:

• Home address: I will be travelling to and from your home

• Emergency contacts: When you are away, it is important to have a person you can rely on (close to home) to be able to help me in an emergency concerning your pet

• Vet name, address and phone number: In case of emergency or if I need advice about your animal

• Insurance and microchip details: As precaution against accident, injury or lost animals

• Pet names, breed, DOB and gender: Knowing this information helps me provide personal care

• Any special requirements, eg. dietary needs: This helps me offer tailored attention for your pet

• Pet behaviours, likes and dislikes: To get to know your furry companion and their traits

• House key information: I must know if anyone else has access to your property while I am operating services

How I use your information

I process your personal data under the lawful basis of contractual necessity and legitimate interest. Specifically, I will use it to:

• Deliver Services: Schedule walks, pet sitting, home visits or pet taxi operations

• Updates: Send you booking updates, photo confirmations, or invoices

• Safety: Medical history,Vet information and key use knowledge will keep myself and your animal protected and risk free during our time together

• ​Understand your pets: The information you give me enables professional care tailored to your pets needs​​

• Legal and business standards: To keep up to date with the General Data Protection Regulation (GDPR)

 

The information you share is used solely to handle bookings and inquiries. Automated marketing and newsletters will not be sent to you from info@shansits.co.uk.

 

How long I will keep your data

Shan.sits will retain your personal data for no longer than necessary to fulfill the purposes outlined above.

• Active Clients: Retained for the duration of our service agreement

• Financial Records: Kept for 6 years to comply with UK tax laws and HMRC guidelines. HMRC rules for business record-keeping require you to keep financial records for 5 years after the tax deadline  (effectively 6 years). 

• Inactive Clients: Safely deleted or anonymised 3 years after your last booking. Animal Welfare Regulations state that if a business provides licensed pet sitting or home visits, client records must be kept alongside pet registers for 3 years, even if the client becomes inactive. 

 

Sharing your information

I never sell or rent  personal data. I will only share information with:

• Veterinary Professionals: In the event of a medical emergency involving your pet

• Software Tools: Essential, trusted platforms like calendar systems, invoicing software, or email managers

• Legal Authorities: Only if required by law or to protect my business legal rights

 

Your rights

Under UK data protection laws, you hold specific rights regarding your personal information:

• Access: You can request a free copy of the data I hold about you and your pets

• Correction: You can ask me to update or fix inaccurate information I may have recorded

• Erasure: You can request that we delete your personal data (the "right to be forgotten")

• Withdraw Consent: I require your consent as a basis for processing personal information. The withdrawal of consent will not affect the processing of information you may have given prior
